How to setup and manage delivery charges

A step-by-step guide to setting up and managing delivery charges through the Grafterr Admin Panel


Delivery charges allow businesses to define how much customers should be charged for delivery orders. Grafterr allows businesses to configure both online and offline delivery charges based on their operational requirements.

  • Online delivery charges can be configured using postcodes or delivery radius, while offline delivery charges can be applied to orders created directly through the POS.

Setting up and managing online delivery charges:

In order to set up and manage online delivery charges through the Grafterr Admin Panel, follow the steps below:

  1. Login to your Grafterr Admin Panel through the Grafterr website using your credentials. Once you are logged into the Admin Panel, look at the menu on the left side of the screen and scroll down until you find the “Advanced Settings” module.

  2. Under this section, click on “Delivery charges.” Once you open the delivery charges screen, you will be able to view all the delivery charges that have already been created and are currently in use.

    • From this screen, you can easily edit, enable, disable, or delete existing delivery charge settings whenever required.

  3. To create a new online delivery charge, click on “Add a new delivery charge.” Grafterr allows businesses to configure online delivery charges in two different ways:

    • Delivery by postcode

    • Delivery by mile radius

  4. This flexibility enables businesses to define their delivery zones based on geographical areas or distance from the business location.


Creating delivery charges by postcode:

  • To configure delivery charges based on postcode, begin by entering a delivery setting name. This name helps identify the delivery configuration internally. Next, choose whether the delivery charge configuration should apply to:

    • Regular orders

    • Pre-orders

      (You can enable or disable either option depending on your operational requirements.)

  • After this, enter the postcodes that your business serves. You can add full postcodes (for example, EH6 6AX) as well as outward postcode codes (for example, EH6, LN1, etc.)

    • Using outward postcode codes allows all postcodes that fall under that particular area to be automatically included, making delivery zone configuration much easier.

  • Once the postcodes are entered, click on “Add” to include them in the delivery zone list. Next, specify the minimum order value required for customers to be eligible for delivery.

  • You must then define the delivery charge that should apply when the customer's order value is greater than the minimum order value. The delivery charge can be configured in one of the following ways:

    • Free delivery – Customers will not be charged for delivery.

    • Fixed amount – A fixed delivery fee will be charged regardless of the order value.

    • Percentage of bill – Delivery charges will be calculated as a percentage of the customer's total bill amount.

  • These charges will apply only when the customer's order value exceeds the specified minimum order value.

  • You must also configure what should happen if the customer's order value falls below the required minimum. The available options are:

    • No sale – Customers will not be allowed to place a delivery order.

    • Fixed amount – A predefined delivery charge will be applied.

    • Percentage of Bill – Delivery charges will be calculated as a percentage of the order value.

  • Finally, choose whether the delivery charge is Taxable. If tax is applicable, enable the taxable option and select the appropriate tax from the available list. Once all the required details are configured, click on “Save.”


Creating delivery charges by mile radius:

  • The process for configuring delivery charges based on mile radius is very similar to postcode-based delivery charges. The key difference is that instead of defining delivery zones using postcodes, you will specify the maximum delivery distance in miles from your business location.

    • For example, if your business delivers within a 7-mile radius, simply enter 7 miles as the delivery radius.

  • After defining the delivery distance, configure the remaining settings, including:

    • Regular orders and pre-orders applicability

    • Minimum order value

    • Delivery charges for orders above the minimum order value

    • Delivery charges for orders below the minimum order value

    • Tax settings

  • Once all details are entered, click on “Save.”

  • The newly created delivery charge configuration will now appear in the delivery charge list. From here, you can:

    • Enable or disable the delivery charge configuration

    • Edit the configuration whenever required

    • Delete configurations that are no longer needed


Setting up and managing offline delivery charges:

Offline delivery charges are used for delivery orders created directly through the POS or Operator Application rather than through online ordering platforms. To configure offline delivery charges, follow the steps below:

  • Remain on the same delivery charges screen and scroll to the bottom. Click on “+ Offline delivery charge.” Enter the delivery amount that should be charged for offline delivery orders and click on “Add.”

  • Once configured, this delivery charge can be applied whenever an offline delivery order is created through the POS. Note that the charge has to be added manually from the Operator application payment screen. You can also edit or remove the offline delivery charge at any time based on your business requirements.
