Offline table reservations allow you to quickly reserve tables for walk-in customers or phone bookings directly from the POS. This helps you manage dine-in operations more efficiently, reduce waiting time, and ensure better table allocation even without an online booking.
Reserving a table for a customer (Offline):
In order to reserve a table for a customer who walks in, follow the steps below:
Open the Grafterr POS application and log in with your credentials. Once logged in, scroll down to the “Table Management” module on the home screen and click on “Manage tables.”
You will land on the table management screen, where you can view all serving areas, tables, and their current status (available or occupied). At the bottom center of the screen, click on the “Reservation / Waitlist” button. This will open a panel with two sections: Reservations and Waitlist.
Under the reservations section, you will see all existing reservations. If none are available, a “No reservations found” message will be displayed.
To create a new reservation, click on “Add Reservation.” Start by selecting the serving area (such as Garden, Pool, etc.), then enter the number of guests. Next, choose the reservation date, set the start time, and define the duration of the reservation. Once these details are filled in, click on “Next.”
You will now be taken to the table selection screen, where you can choose the tables for the reservation. You can view tables in either grid view or list view based on your preference. After selecting the tables, click on “Next.”
Now, enter the guest details, including name, email address, and phone number. If the reservation is for a special occasion such as a birthday or anniversary, you can select the occasion as well. You can also add any additional notes or special instructions, and if required, collect an advance payment at this stage.
Once everything is completed, click on “Make Reservation.” The reservation will now be successfully created and will appear under the Reservations column.
Managing an existing reservation:
To start and manage an existing reservation, follow the steps below:
Go to the Reservations section and click on the specific reservation. This will open a detailed view where you can see all the booking information.
From here, you can modify reservation details if needed or cancel the reservation in case of any changes. At the bottom of the screen, you will find two important actions: “Allocate table” and “Start.”
As the reservation progresses, the table status automatically updates.
When a table is reserved or in use, its status changes from available to occupied.
Once the order is completed and payment is done, the table status changes to Not ready.
If you want to make the table available again for the next customer, you will need to manually update the table status back to available.
