How to view and manage your total sales report

A step-by-step guide to viewing, understanding and managing your total sales report within the Grafterr Admin Panel

The total sales report provides a complete overview of your business’s daily performance by showing all sales-related data in one place. It helps you analyse overall revenue, payment methods, order volumes, and customer spending patterns, making it one of the most important reports for business decision-making.

Navigating through total sales report:

In order to view and manage your total sales report within the Admin Panel, follow the steps below:

  1. Login to your Grafterr Admin Panel through the Grafterr website. Once you are logged into the Admin Panel, look at the menu on the left side of the screen to find "Home".

  2. Under this section, click on "Reports", where you will find the complete list of reports available within the Grafterr ecosystem. Locate "Total sales" under the "Sales reports" category and click on it to open the report page.

  3. By default, the system displays yesterday’s total sales data whenever you open this report. You can always view today’s data or previous month's sales using the available filters.

  4. Before moving forward, let’s understand the key columns that appear in the total sales report:

    • Sr. No. & Date - Displays the serial number of each record & date on which the sales were recorded.

    • Gross sales & Net sales - Total sales amount before deductions & sales amount after excluding taxes and discounts.

    • Taxes & Average bill - Total tax collected on orders & average value of orders for that day.

    • Orders - Total number of orders placed.

    • Card, Cash, 3rd party payment and Scan & Pay - Total amount received through card/ cash/ third-party payment mode/ scan & pay payments.

    • Tips & Advance payments (POS) - Total tip amount received & any payments collected in advance through POS.

    • Refunds & Delivery charge - Total refunded amount & delivery fee collected for the order.

  5. Moving on, on the top right corner of the report, you will find 2 options - "Export" and "Filters".

  6. By clicking on "Export",

    • You can view the complete list of columns available in the report. You can choose to enable or disable any columns before exporting.

    • The report can be exported as PDF or XLS file, and you also have the option to email the report directly by simply entering the email address and the system will send it instantly.

  7. Lastly, click on "Filters" to apply customised criteria to your report. There are four types of filters available:

    • Group By - View the report either day-wise or as a total summary.

    • Date - Filter data for today, yesterday, this week, last month, or a custom date range.

    • Order Type - View sales based specifically on order types such as eat-in, takeaway, delivery, etc.

    • Order Source - Filter sales from POS, website, mobile app, or other ordering channels.

  8. Select the filters you want and click on "Apply", and the report will update instantly based on your selections.
