QR Ordering is a modern and contactless approach designed to simplify the process of ordering food and beverages in restaurants, cafes, and other hospitality establishments.
It leverages Quick Response (QR) codes, which customers can easily scan using their smartphones to access digital menus, place orders, and even make payments — all without physical interaction.
Setting up QR Ordering through Grafterr Admin Panel
In order to setup QR Ordering through Grafterr Admin Panel, follow the steps below:
Login to your Grafterr Admin Panel through the Grafterr website. And once you are logged in, look at the menu on the left side of your screen.
Scroll down to locate the “Channels” section and click on “QR Ordering.” This will open the complete setup module where you can configure various settings related to QR Ordering.
There are 10 key settings in this section and let’s go through them one by one.
Applicable services:
The "Applicable services" determines the service types under which customers can access the digital menu. Within this setting, there are two primary service options:
Eat In and Take Away
To enable QR Ordering, at least one of these services must be active. If both are disabled, customers scanning the QR code will see a message saying “Services Not Available,” indicating that the digital menu is temporarily inactive. Let’s understand three possible scenarios and their outcomes:
Both Services are Active
Activating One and Deactivating Other
Both Services are Inactive
QR ordering hours:
The "QR ordering hours" setting allows you to define specific operating hours and days for when customers can place QR-based orders.
Businesses can create flexible schedules with breaks between active hours. For instance, consider a scenario where a business specifies operational hours from 9am to 12noon and then from 2pm to 5pm, with a designated break from 12noon to 2pm.
By utilizing the "+Add More Timings" option, you can easily create these intervals, ensuring accurate representation of the working schedule.
If a customer tries to access the menu outside the defined ordering hours, they’ll see the message: “You’re trying to access the menu outside of ordering hours. Please refer to our operational hours and days or contact our restaurant staff for assistance.”
You can also customize this message by navigating to the “Online (Web & Mobile apps)” section (just above QR Ordering) and editing the “Out of hours message” field to reflect your own tone and business style.
Notes:
The Notes feature is designed to display important information or messages to customers as soon as they open the digital ordering page. These notes appear right after they select their service type (Eat In or Take Away).
Eat in guest count popup (Toggle):
The "Eat in guest count popup" comes into action when a customer specifically selects the "Eat In" service type at the outset. When enabled, it prompts customers to enter the number of guests while placing an Eat In order. This appears immediately after they select a table.
It helps the restaurant prepare and manage service efficiently based on the number of diners.
Phone number mandatory for Takeaway service (Toggle):
This setting ensures that customers choosing "Takeaway" service provide their phone number mandatorily before proceeding.
Once enabled, the system prompts for both name and phone number, helping businesses maintain accurate contact details for smoother communication and order coordination.
Pay at counter (PAC) (Toggle):
The "Pay at counter (PAC)" toggle allows customers to pay physically at the counter using cash or other in-person payment modes.
When enabled, customers can choose this payment method during checkout.
If disabled, they will need to complete their payment using online options such as Card, Google Pay, or Apple Pay.
It’s important to note that the 'Pay at counter' option is available only upon special request - it is not a default feature in Grafterr.
Card payment (Toggle):
The "Card payment" setting controls the availability of online payment options like Credit/Debit cards, Google Pay, and Apple Pay.
When enabled, customers can pay online using these methods. When disabled, these payment options are hidden from the checkout screen.
If both Pay at counter and card payment are turned off, customers will see an alert message saying - “Payment Gateways are not available. Please try again after some time.”
This helps businesses maintain control over how payments are accepted based on their setup and operational needs.
Auto accept kitchen display items & orders:
The "Auto accept Kitchen Display items & orders" option enables the server to automatically accepts all incoming QR orders, sending KDS-assigned items straight to the kitchen display.
This update eliminates manual acceptance, reduces delays, and supports smoother operations for businesses operating in KDS-only environments.
QR layout settings:
The "QR layout settings" option allows businesses to customize how their digital menu looks when accessed through a QR code. There are currently five distinct templates available. Users can preview each layout before finalizing one, ensuring that the design aligns with the brand’s visual identity and style preferences.
Serving area availability:
The "Serving area availability" lets you manage the different serving areas (like Garden, Bar, or Main Hall) available for customers to select when placing Eat-In orders via QR. Businesses can disable any areas they do not wish to make available for online table selection. This ensures operational flexibility - for instance, when certain sections are closed or reserved.
QR template
QR template is where you can access and share your restaurant’s unique QR code. You have two options:
Download: Save the QR code image for printing and use on tables, walls, or menus.
Email: Send the QR code directly to an email address.
Finally, click on "Save" once all the changes are made.
