How to manage party bookings

A step-by-step guide to managing party bookings in the Grafterr Operator application

Party bookings are essentially advance reservations made for groups, such as birthdays, family gatherings, or corporate events. They allow restaurants to allocate tables in advance, capture details like the number of guests, arrival time, and ensure that the service team is prepared to manage larger gatherings smoothly.

Booking a party through Operator application:

In order to book a party through the Operator application, follow the steps below:

  • Log in to the Grafterr Operator application. From the bottom left of the screen, click on “Extras” and then select “Book a Party”.

  • The system will prompt you to enter booking details including the name of the host, the deposit amount, the host’s mobile number, the total number of guests, and the date and time of their arrival.

  • Once these details are filled in, click on “Submit”.

  • The application will then redirect you to the “Table Layout" page, where you can select the tables that need to be reserved for the party. After choosing the tables, click on “Book Table" at the bottom left.

  • At this stage, you must also record how the deposit was taken - whether through cash or card and confirm the deposit amount. Once this is completed, click on “Book”, which finalises the party booking process.

Managing a party booking through Operator application:

In order to manage a party booking through the Operator application, follow these steps:

  • On the main ordering screen, locate the “Party Bookings” option on the left and click on it. Here, you can search for existing bookings using filters such as the host’s name, booking date, or party ID.

  • After applying the filters and clicking on the search icon, the system will display the relevant booking details. From this point, you have the option to either start the booking or cancel it if needed.

  • If you choose to start the booking, you will be redirected to the ordering screen where you can begin taking orders for the party.

  • When it comes to the payment stage, the system will automatically deduct the deposit amount that was recorded earlier, and the guest will only need to pay the remaining balance.
