Getting started with your Grafterr Handheld POS

This guide walks you through everything you need to know to get started with your Grafterr Handheld POS.

If you’ve recently purchased a Grafterr Handheld POS, this guide is for you.

This article walks you through everything you need to know, from unboxing your device to completing setup and starting your first transaction.

What’s inside the box

When your Handheld POS arrives, you’ll receive a primary package containing:

  • The Grafterr Handheld POS device

  • Charging cable and power adapter

  • Paper roll

  • Quick user guide

Once you have all items ready, you can begin setting up your device.

Step 1: Insert the paper roll

  1. Hold the device firmly.

  2. Slide the printer lid upwards to open it.
    You may need to apply slight pressure, this is normal.

  3. Place the paper roll inside the compartment, ensuring the paper feeds from the correct direction (as shown in the image).

  4. Pull a small section of paper out and close the lid securely.

Step 2: Power on the device

  1. Press and hold the power button.

  2. Keep holding until the LCD screen lights up.

  3. Release the button, the terminal will begin starting up.

Once the device has fully booted, you’ll see the Android home screen.

Step 3: Open the Grafterr POS app

On the home screen, you’ll find the Grafterr POS application already installed.

Simply tap the app icon to begin setting up your account.

How to create your Grafterr POS account

Signing up with Grafterr POS is quick and takes only a few minutes. Each step includes helpful on-screen tips to guide you through the process.

Sign up with Grafterr POS

  1. Open the Grafterr POS app.

  2. Select the country where your business is registered (for example, United Kingdom, India, or another available region).

This step is important as it connects your account to the correct server for your business operations.

  1. Set up an optional security lock for the app.

    • Toggle it ON if required.

    • Choose the lock duration.

    • Tap Confirm.

  2. On the welcome screen, choose one of the following:

    • Sign up as a new business

    • Log in as an existing business

  3. Tap Sign up to create a new account.

  4. Enter your details:

    • Business name and industry

    • Your name, email address, and mobile number

    • Create a password for future logins

  5. Tap Agree and continue.

  6. You’ll receive a One-Time Password (OTP) on both your email and mobile number.

    • Enter the OTP to verify your account.

    • If needed, tap Resend code to receive a new OTP.

Once verified, you’ll be redirected to the onboarding page.

That’s it! Your Grafterr POS account has been successfully created.

How to complete your Grafterr POS onboarding

Before you start transacting, Grafterr POS requires a few essential setup steps. These ensure your system is fully configured for daily operations.

Onboarding overview

After signup, you’ll land on the onboarding page, where:

  • All required setup steps are listed

  • A progress tracker shows how much of the onboarding is complete

You can skip steps if needed, but we strongly recommend completing all of them for the best experience.

Step 1: Set up the admin user

The admin account has full access to:

  • Staff management and permissions

  • Reports and refunds

  • System and application settings

  1. Tap Set up now under Admin User.

  2. Enter the admin name and create a passcode (2–6 digits).

  3. Tap Submit.

Your admin account is now ready.

You can also:

  • Add additional employees

  • Assign roles and permissions

  • Download the staff list as a PDF

Once done, tap Finish setup.

Step 2: Configure tax settings

  1. Tap Set up now under Tax Settings.

  2. Select Add a new tax setting.

  3. If your business is not VAT registered, you can indicate this.

To create a tax:

  • Enter the tax name and percentage

  • Add your registration number (if applicable)

  • Choose whether tax is included in menu prices or added on top

  • Decide whether it applies to all items

  • Tap Save

Step 3: Complete payment setup

  1. Tap Set up now under Payment Setup.

  2. Select your business type.

  3. Enter your business details (name, email, address, registered business name).

Make sure these details match the information used during signup.

  1. Enter payout details:

    • Bank account number

    • Sort code

  2. Review and accept the Direct Debit Authorisation.

  3. Confirm your details on the review page.

  4. Complete identity verification, this usually takes only a few minutes.

Once approved, Grafterr payments will be ready to use.

Step 4: Set up services and business profile

  1. Choose your service types (for example: Eat In, Takeaway).

  2. Set a default service if required.

  3. Tap Submit.

Next, complete your business profile:

  • Upload your logo

  • Fill in remaining business details

  • Tap Submit

You’re ready to start transacting

Once all steps are complete, the progress tracker will reach 100%.

Tap Let’s get grafting to start using your Grafterr Handheld POS.

Your system is now fully set up and ready to support your daily operations.
