Once customer orders are paid and successfully completed, they are automatically recorded in the order and transaction history section of Grafterr POS. This section helps you review completed sales, track refunds and cancellations, and monitor petty cash movements, giving you complete visibility into your daily business transactions.
Understanding order and transaction history:
Open the Grafterr POS application and log in with your credentials. Once you are logged in, you will land on the home page of the application.
Scroll down to locate the “Quick actions” module. Under this section, click on "Order history". Inside this section, you will find four data tabs, each serving a different purpose:
Orders,
Refunds,
Cancelled, and
Petty cash
The orders tab displays all orders that have been both paid and completed for the selected day. Orders that are unpaid or incomplete will not appear here and will instead be visible under the "Pending orders" page. Each order clearly shows the service type, transaction amount, and the date and time of the order.
Tapping on any order opens the detailed order view, where you can review all item-level information. By swiping down, post tapping, you’ll find options to email the receipt to the customer, print the receipt, or process a refund for the entire order or selected items.
You can also search for a specific order using the Order ID. Additionally, advanced filters are available by clicking the filter icon at the top-right corner. These filters allow you to narrow results based on payment methods (cash, card, payment link, etc.), service types (Eat In, Takeaway, and more), order channels (POS, QR ordering, etc.), and a custom date range.
Next, the refunds tab shows all refund transactions that have been processed. Each entry displays the service type along with the date and time of the refund. Similar to completed orders, you can tap on a refunded order to view detailed information.
Swiping down gives you options to email the refund receipt or print the receipt. At the top of the screen, you’ll also see the total refunded value for the selected period, along with yesterday’s and older refund totals.
Filters are available here as well, allowing you to refine data based on payment methods, service types, order channels, and date range.
The cancelled tab lists all orders that have been cancelled. For each cancelled order, you can see the service type and the date and time of cancellation. Tapping on any cancelled order opens its detailed view, where you can again choose to email or print the cancellation receipt.
Lastly, the petty cash tab records all cash-in and cash-out transactions performed during the day. Each entry shows details such as the user who performed the action, the reason for the cash movement, and any notes added.
Tapping on a petty cash entry opens the full transaction details. Filters in this section allow you to sort transactions by cash in or cash out and by date range, making it easy to audit cash movements.
That’s it! You have successfully learned how to understand and navigate the order and transaction history in Grafterr POS, giving you better control and visibility over your business transactions. If you face any issues along the way, feel free to reach out to our support team.
