How to add a menu item (Grafterr POS)

A step-by-step guide to adding a menu item in Grafterr POS

Note:

  • Before creating a menu item, make sure you have already created the menu type, category, and modifiers that will be linked to the menu item. Setting these up in advance ensures a smooth and hassle-free item addition.

Adding a new menu item in Grafterr POS:

In order to add a menu item through the Grafterr POS application, follow the steps below:

  1. Open the Grafterr POS application and log in with your credentials. Once you are logged in, you will land on the home page of the application.

  2. Scroll down to locate the module called “Menu management”. Under this module, click on “Add/Edit menu”. Here, you will see a list of all your existing categories, items, and prices.

  3. To create a new item, tap on the “+ Items” button located at the top of the screen. Start by uploading an image for the item using your camera or gallery. Then enter the item name and price.

  4. Adding variants (flavours / sizes) - Variants are different options of the same item that vary by size, portion, or flavour. For example, a coffee might have variants like small, medium, and large.

    1. To add variants, click on “Add variants (Flavours / Sizes)”. You can name the variant (e.g., Small / Half / Family) and assign a separate price for each.

    2. Once variants are added, the item will show these sizes or flavours options while ordering.

  5. Adding measurements (kgs / ltrs) - Measurements are used when an item is sold by weight or volume - for example, 1 kg of veggies or 500 ml juice.

    1. To add measurements, click on “Add measurements (Kgs / Ltrs).” You can define how the item is priced based on kgs or litres.

    2. You can also set “Custom measurement prices” (for example, 250g, 500g, or 250ml, 500ml).

    3. Click on “Add more” to create multiple measurements. And once the item is added with measurements, you can select the desired quantity while ordering, and the total price will adjust automatically.

  6. Adding global sizes - Global sizes are standard size options that are widely recognised and used across the world - for example, 14-inch pizza, or large burger, etc.

    1. To apply a global size to an item, simply click on the “Global sizes” option and select the sizes you want to associate with that item.

    2. If you wish to create a new size that is not already listed, click on “Add global size” in the size list. Enter the desired size name and confirm.

      ***Note that when an item is added using global sizes, the modifiers linked to that item must also be in the same global sizes. For example, if an item includes small and large global sizes, then the modifiers (like extra cheese or toppings) should also have small and large size options defined while creating. Assigning single priced modifiers will not work in this case, as the system requires size-based modifiers to match the item’s global sizes.

  7. Assigning menu and category

    1. Select the menu and category that this item belongs to.

Exploring advance settings:

Now click on “Expand” beside “Advance settings” to view additional customisation options for your item.

  • Adding modifiers

  • Adding tax settings

    • Enable the toggle “Is this taxable?” and then select the applicable Tax and click on “Confirm” once done.

  • Adding servicewise pricing

    • To set different item prices for different services, click on “Servicewise pricing” and enable the toggle “Add service wise prices for this item.”

    • Once enabled, you can define separate prices for each service type - such as eat in, takeaway, and delivery. Submit, once the changes are done.

  • Adding item details

    • Click on “Description and Calories.” Here, you can enter item description, ingredients, whether the item is alcoholic or not, assign a course type, and calories of the item. Once all details are filled, click “Add.”

    • Click on “Item Number and Label.” Enter an item number (used for sorting and item recognition) and item label (a short name for the item). Then choose a color code and click on “Add”.

    • Click on “Allergens” to select any allergens associated with the item. You can also create new allergens from the screen and once you have selected all, click on "Add".

    • Next, click on “Icons library” to choose icons such as gluten free, vegan, or 100% natural to display alongside the item. Once selected, click on "Add".

    • Click on “Barcode” to scan or enter the item barcode if applicable.

  • Setting item availability

    • Choose if the item should be available on all days, or only on specific days (from a particular start date to an end date, and from specific start time to end time).

  • Other options - lastly, you will find three toggle options under others options -

    • “Out of stock” - Mark the item as unavailable for ordering on the checkout page, if toggled ON.

    • “Most popular items”: Highlights the item as a popular choice on the checkout page, if toggled ON.

    • “Consent message”: Adds a message that pops up on tapping the item on the checkout page (useful for disclaimers, e.g., contains nuts).

  • Once all the details are entered and verified, click on “Add” and then on “Done.” Your new item will now appear under the assigned menu and category, ready for ordering.

  • And if you ever need to make changes to an existing item, you can simply click on the “Edit” option on the item to update details, images, or availability settings.
