How to create and manage query deals

A step-by-step guide to creating and managing query deals using the Grafterr Admin Panel

A query deal is a smart upselling feature that works with individual menu items. Think of it as a helpful suggestion system - when a customer selects a base item (like a burger), a pop-up question appears asking if they would like to add a meal to go with it.

  • If they say yes, additional items can be added to their order based on their choice. It's a great way to increase order values while giving customers convenient meal options.

Navigating to your existing deals:

In order to navigate to all the existing query deals, follow the steps below:

  • Login to your Grafterr Admin Panel through the Grafterr website. And once you are logged in, look at the menu on the left side of the screen. Look for "Menu Management" by scrolling down through these sections.

  • Next, click on "Menu Configuration" under it, and you'll see all your existing menus, categories, and food items.

  • On the right side of your screen, find "Existing Deals" and click on "Query Deal" underneath it.

    • This shows you all the query deals you have created before. You can edit or delete these deals using the action buttons.

    • There are also search filters to help you quickly find specific deals by name or category.

Creating a new query deal:

In order to create a new query deal through the Admin Panel, follow the below steps:

  • Click the "Add Query Deal" button at the top right of your screen. Start by giving your deal a name that customers will see.

  • Then add a short name for your own reference. Include a product code if you use them, and set the deal price customers will pay. You can also upload a picture of the deal to make it more appealing.

  • There's a toggle called "Show in deals" at the top-right corner.

    • When it's turned ON, customers will see this deal in the “Deals” section on your website & mobile ordering site.

    • When it's turned OFF, the deal won't appear in that section.

Building your meal structure:

This is where you decide the base item and what food items/categories go into your query deal.

  • First, you need to choose the "base item" - this is the menu item that will trigger the meal question. For example, if you choose "Bangers and Mash" as your base item, customers will see the meal option pop-up whenever they select that item.

  • Next, provide the “Combination Title” for your deal, like "Appetizers". Then use the "Plus (+)" button to add items/categories to each combination.

  • You can add whole categories (like "Appetizers") or specific items (like "Scotch Egg"). Just start typing what you are looking for, and the system will show you matching options. Click on what you want to add to your deal.

  • For each combination of your deal, provide “how many items customers can choose”.

  • Once you finish one part, click "Add a new combination" to create another part. Keep doing this until your deal is complete. And If you make a mistake, you can always delete any part using the delete button next to it.

Adding deal information:

  • In the "Deal Details" section, write a description that explains your query deal to customers. Tell them what's included and why it is a great offer. This helps customers understand what they are getting when they order.

Setting deal availablility & servise-wise prices:

The availability settings control when customers can order your deal.

  • Choose if the deal should be "Active" (customers can see it) or "Inactive" (hidden from customers). You can switch between these without deleting it.

  • Next, pick which services can offer this deal. You might have eat-in, delivery, and takeaway options. Check the boxes for the services where you want this deal to be available.

  • You can choose when the deal would be available:

    • Pick "All days" if you want it available whenever you are open.

    • Choose "Specific days" to set particular time, dates, or days of the week when the deal should work.

  • You can charge different prices depending on how customers order by using the “Set service wise prices to this deal?” option. If you say yes, you might charge £10 for eat-in, £12 for takeaway, and £15 for delivery. This helps you cover different costs for each service.

Handling taxes and saving the deal:

  • The tax section lets you decide how taxes work with your deal. Unlike the meal deal, by default, the tax settings for the main item selected would apply to the query deal price.

  • There is also an option to "Apply proportional taxes to meal items instead of a flat tax on the total deal price." This means that only taxable items in your deal will have tax added to them. If some items don't normally have tax, they won't be taxable even as part of the deal.

  • Once you are done with all your settings, click "Add Query Deal" at the bottom to save everything. After the deal is created, it will appear in the existing meal deals section.

Refreshing the Operator Application and testing your deal:

The final step is to refresh your Operator application to see the updates working -

  • Open the Grafterr Operator application, go to the “Extras” section, and scroll down to find "Refresh App." Then find your base item - select and test it to make sure everything is working as expected.
